- HW- 2. We are visitors not inspectors;
checking health histories is not an audit
process. When a visitor is reviewing
a camp's health history form, they
should review a blank one! First,
make sure all of the elements required
in the standard are present, etc. THEN,
ask where the completed forms are kept
and glance quickly through them, NOT
really reading them. The visitor
should definitely ask if the camp has
health histories for all campers and
staff. Please ask if they have
the health history for specific staff
(aquatics director, program director,
etc.). Ask to see a camper list
and then ask if they have a health history
for five to six campers. You might have
them PULL the form to give it a cursory
glance, but do not read it! This is for
privacy issues and potential HIPAA issues
(based on the camp/agencies policies).
- Again, to protect privacy, if
a camp is missing the required checks
in HR-4 an Immediate Corrective Action
(ICA) is required. DO NOT have the camp
fax these forms (once obtained) to the
ACA National Office! A statement of
corrective action taken and a list of
names for which they completed the information
are appropriate.
- The score form is the legal record
of the visit – it is a legal document! Comments
are to be written for any and all "no's" scored,
for any problems in scoring a standard
or a section of standards, and for indicating
that a section was scored but not seen.
Therefore, please do NOT write miscellaneous
comments for DNAs or for educational
purposes. For example: A camp has
a written plan for Intruders (OM-6).
They have a plan, yet you feel it is
weak so the visitor writes on the comment
form: "Camp has a plan yet
needs to strengthen it by cutting down
trees so there is better visibility." While
this may be true and you want to share
this info with the camp, please do so
verbally or in writing on another document
and NOT the score form.
- PA-8 (Impaired Mobility Procedures):
This standard is not just for individuals
in wheelchairs but also those with impaired
mobility (someone on crutches, etc.). The
purpose is to think broader. As you work
with camps prior to the visit, please
discuss this issue.
- Please, please, please double check
score forms for blanks. A trick:
Turn the form so you are looking at it
horizontally. This allows a different
perspective and helps you see the "blanks."
- Do not "create" a DNA if
it is not offered in the actual standard,
unless you have talked with a National
Standards Team member.
- Please send score forms in to the national
office IMMEDIATELY after the visit.
- Written Documentation Preview (WDP)
forms do not need to be sent to the national
office. The camp might want to keep WDP
forms for their records. Sections should
destroy the forms.
- Please remember to complete the ICA
process for all mandatory standards scored
NO. (We had several visitors who did
score a NO for a Mandatory and did not
obtain the ICA information.)
- Please obtain all appropriate signatures,
and mark the camp modes on the score
form and the profile form. Then, update
the profile following the directions
listed on the form.
- If you have a profile form, you should
also have a score form. Remember
this hint: A profile form = a camp
number = a visit = an ACA Web site listing!
- Visitors
MUST be current ACA members. If
a nonmember "visitor" conducts
a visit, it will count as a one-person visit. Sections
are only allowed a limited number of one-visitor
visits.
