Winter is crunch time, since parents are researching and booking, so your initial listings, promotions, and marketing need to be ready to go. Spring is for closing out the procrastinators, finishing your curriculum, training your team, and getting camp-ready. And once summer hits, you're not done. You'll be in full swing running your camp.

Fall
Summer camp is over, but don't let families forget how much fun they had. This season is about staying close to current customers, building new relationships, and locking in bookings for next year while your camp is still top of mind.

No registration software yet? By getting an enrollment platform now, you’ll save hours of time and help you book more families. Then you can publish next year's camp pages immediately. Update your site and app with fresh photos from the summer. Make your 2027 dates and booking link impossible to miss. Got a new class or activity you want to try for next summer? Test it now. School break camps and after-school programs are the perfect low-stakes environment to pilot new themes and activities, and a great way to drum up excitement for new and returning families ahead of summer.

Ask parents/guardians for reviews while the memories are fresh, then put them everywhere: your website, social channels, email. Fall is also prime time to build local relationships, such as school partnerships, community fairs, and raffle donations. Keep posting across your social channels, and always give families a reason to book now for next year.
Winter
Summer camp feels far away when it's cold out, but winter is when camp research turns into bookings. Families are comparing programs, checking dates, and making decisions for summer, so your listings, pricing, and marketing need to be ready before they start looking.
Scheduling
If your camps aren't live yet, fix that today. Families can’t enroll in your camp if they can’t find your listings. A rush registration (a set date and time when booking opens) can build buzz and give you a read on demand. Early-bird pricing and limited-time offers add urgency too.
Administrative Work
Start recruiting counselors now. Summer will be here before you know it. Winter's also the time to check your website for broken links, set goals for the season, and pull together your diversity, equity, and inclusion policy and parent handbook (key dates, forms, health and safety info, all in one place).
Activity Planning
This is when your curriculum takes shape. Lesson plans for an entire summer take real time, so starting now means your listings can actually describe what campers will learn and do, not just vague promises.
Marketing
Consider paid search and social advertising to reach families who haven’t discovered your camp through organic marketing channels. Segment your email list by age or interest so nothing feels generic, and show up where parents already are, including pediatric offices, gyms, and sporting goods stores. Answer your DMs, run a giveaway, and let your counselors' bios and reviews do some of the selling for you.
Spring
Spring is decision time. Parents who've been putting it off are finally ready to commit, and March tends to be one of the busiest booking months of the year. Give the procrastinators a nudge and get your future campers excited.
Scheduling
Let people know your camp is filling up fast. Once a session is full, activate a waitlist, which tells you exactly which programs are your winners. Last year’s waitlist can help you decide whether to add a session or expand that offering next year.

Wrap up hiring and get onboarding moving so your team knows what's expected. Real counselor training matters here, which is one of your best tools for keeping kids and staff safe all summer. Lock in your safety plans and protocols too.

With your curriculum outlined, it's time to write the actual day-by-day lesson plans your team will follow. Then take inventory: what supplies do you already have, and what do you still need to order?

Mix up your content, photos, testimonials, staff bios, and post often. Instagram Stories are great for polls and questions that build anticipation before the season kicks off. Referral incentives are worth the investment too. As spots fill, keep the "limited spots left" messaging front and center.
Summer
Camp is in full swing, and you should already be thinking about next year. Campers are having a blast and parents are feeling good, which makes this the ideal moment to ask for next year's commitment.
