We are looking for a full-time operational associate. Someone to coordinate the administrative needs of ACA’s senior directors, provide meeting planning for operational teams, and support other various administrative functions.

What would you do if hired?

  • Working with the senior director team to help achieve the goals of the association, with a focus on the Character at Camp initiative.
  • Coordinating the administrative needs of ACA’s senior directors by scheduling meetings, creating meeting agendas, preparing meeting materials and minutes, managing RSVP lists, managing travel needs, providing project management, data entry in CRM, and delivering other administrative support as needed.
  • Providing meeting planning for operational teams, with a focus on Character at Camp events and meetings, by coordinating contracts, meeting spaces, overnight accommodations, and meals; communicating with staff and board members related to meeting information, agendas, conference schedules, dietary needs, and attendee supply needs; creating travel manifests; documenting meeting minutes; coordinating with IT to ensure proper technology; gathering and bringing supplies; working with hotel staff throughout meetings.
  • Serving as the administrative staff liaison to the Character Advisory Committee and other grant-related committees, ensuring they have the resources to be successful in achieving the goals of the organization.
  • Supporting Character at Camp communities of practice by providing regular communication, answering questions, and connecting participants with related resources, staff, or volunteers as needed.
  • Setting up Character at Camp and other operational meetings in CRM, including setting up registrations, ensuring details are accurate on ACA’s website, providing registration reports, and scheduling the required communications with registrants.
  • Answering incoming calls and emails and responding appropriately in a timely and professional manner, ensuring that ACA is inclusive and welcoming to members and customers from all backgrounds.
  • Providing excellent customer service to both internal and external customers.
  • Providing customer service by serving on the phone pool.
  • Performing other related duties as assigned.

What are we looking for in a candidate?

  • High school diploma required, with 2 years equivalent work experience.
  • Ability to think strategically and implement projects in a team environment.
  • Strong written and oral communication skills.
  • Attention to detail.
  • Ability to manage multiple projects involving stakeholders, including volunteers.
  • Ability to work well independently, as well as with others in teams.
  • Ability to meet frequent deadlines.
  • Experience with Microsoft CRM, Outlook, Excel, and Word with an ability to quickly learn Microsoft CRM and Moodle.
