The foundation of a successful program starts with a strong relationship between the camp and the J-1 visa sponsor. Clear, proactive communication helps ensure participants' health, safety, and welfare are consistently prioritized. 

  • Know your sponsor contact — Make sure your staff knows who to reach out to at the sponsor organization in case of any concerns. 
  • Keep lines of communication open — Regularly check in with both your sponsor and participants to address questions or needs.

Cultural Exchange: Keep the Focus Front and Center 

The J-1 visa is fundamentally a cultural exchange program. It’s not just about working at camp — it’s about experiencing American culture firsthand. Camps should be intentional about creating opportunities that enrich this aspect of the experience. 

Suggestions for Cultural Exploration

  • Organize group outings to local events like a minor league baseball game, a county fair, or a regional festival. 
  • Celebrate traditions together. Host themed dinners, talent shows, or international nights where staff and campers share customs from their countries. 
  • Provide transportation during days off so participants can explore nearby towns or landmarks. 
  • Create on-site experiences that connect them with American customs and traditions. 

Compliance  

  • Anticipate State Department compliance visits this summer.  
  • Ensure program participants are actively engaged in the roles appropriate to their visa category — for example, camp counselors leading cabin activities and Summer Work Travel (SWT) participants supporting areas like food service.

Arrival and Travel: Smooth the Journey 

Your international staff’s experience starts before they arrive on camp property. Make sure you provide them with the tools and information they need to navigate their journey confidently. 

Before Departure 

  • Provide detailed instructions about what documents to carry and who to contact upon arrival. 
  • Ensure participants have: 
    • DS-2019 form 
    • Camp agreement 
    • Sponsor contact information 
    • Camp address, phone number, and after-hours contact information 
    • Valid photo ID (passport, visa) 
    • Return flight information 

Upon Arrival 

  • Assist with or arrange transportation to and from camp. 
  • Let participants know what to expect at entry and remind them to carry their documents in both digital and printed form. 

Encourage Smart Travel 

  • Staff are strongly discouraged from crossing borders (e.g., Canada or Mexico) during the program or grace period, as it can complicate re-entry. 
  • Remind them about 30-day grace period rules and travel limitations.

Document Readiness and Legal Compliance 

J-1 participants should always have access to key documents: 

  • Carry passport, DS 2019, and sponsor and camp contact information at all times.
  • Store copies of documents on their phones, in bags, and in a safe location at camp. 

Legal Awareness 

Many participants are unfamiliar with US laws. Camps should provide a refresher on basic legal expectations: 

  • Underage drinking and drug laws 
  • Smoking and vaping policies 
  • Driving laws and restrictions on international licenses 
  • Respect for local customs, particularly in more conservative or rural communities 
  • Avoid political demonstrations/protests.  
  • Shoplifting is a crime.  

Use sensitivity and awareness when discussing legal and behavioral expectations. Today’s global climate requires mindful communication, grounded in respect and support. Please remember to approach every challenge as an opportunity to lead with kindness and care.
